Lead four managers and more than 50 employees across three dental offices, reporting directly to the owner with broad operational decision authority.

  • Built a remote support team serving three dental offices, improving productivity and sales conversion while reducing staffing costs.
  • Developed managers through structured coaching, clear KPI expectations and delegated responsibility. Their ability to manage daily operations eliminated the need for my recurring site visits every two to three months, creating capacity to focus on planning and structuring future operations.
  • Launched General Dentistry services in 2022 and currently lead expansion into a new state.
  • Lead the company's transition toward AI enabled operations through AI assisted development, automation and better operational tools. Implemented workforce administration, time tracking, billing and CRM systems to streamline workflows, reduce manual work and lower operating costs.
  • Manage operating budgets, approve spending, forecast staffing costs and evaluate profitability to support annual financial goals set by the owner. Streamline departmental processes and staffing requirements to improve efficiency.
  • Lead daily sales updates, weekly business reviews and monthly management meetings to identify performance gaps and adjust operating priorities. Hold monthly business reviews with the owner to evaluate performance, align priorities and escalate matters requiring his review.
  • Lead vendor selection, negotiation, engagement, performance audits and termination across dental supplies, dental technicians, IT and SEO services, addressing service failures and holding providers accountable.
  • Set a service goal of earning a five star review from every patient. Immediately audit reviews below five stars to identify service gaps and opportunities for improvement.

  • Built a remote sales and customer service team by coordinating hiring, orientation and ongoing training, establishing a team to support customer service and monthly sales objectives.
  • Developed productivity dashboards to present pharmacy operating performance, creating a reporting tool for management oversight.
  • Created and maintained Lean pharmacy workflow standards and worked with the Pharmacy Director on policies and protocols, producing documented operating procedures and implementing quality improvement projects.
  • Managed employee performance through annual reviews, development and corrective action processes; supported payroll approvals, incident reporting and appropriate handling of protected health information.

Result

Developed managers who take ownership of their departments and sustain daily operations with minimal direct intervention. Before deploying the development program, my remote leadership role required site visits every two to three months. The management team's ability to run daily operations has eliminated the need for those recurring visits, allowing me to focus on planning, automation and the future structure of the operation.

Method

Created a structured development program supported by four training modules, combining a supportive learning environment, behavior based feedback, SMART action plans and Skill Knowledge Enhancement Plans. Tailor coaching to individual strengths and connect delegated responsibility to clear performance expectations.

Follow-through

Review progress against agreed actions and KPIs, address skill and knowledge gaps, and equip managers to apply the same development process with their teams.

Lead the company's transition toward AI enabled healthcare operations. Use AI assisted development to turn operational needs into tools that streamline workflows, reduce manual work and support cost control. Workforce administration, time tracking, billing and CRM systems are in use; conversational AI remains a prototype.

Created practice and administration applications connecting appointment workflows, follow up queues, staff handoffs, reporting and quality review. These tools are in use to support coordination of practice operations.

Created and implemented a time tracking application and management dashboard for remote teams, bringing recorded work, corrections, productivity review and payroll exports into one workflow.

Created software connecting scheduling approvals, payroll records, time off requests, attendance and operational reporting. The application is in use to bring workforce administration into a common system.

Developed automation for insurance portal interactions and claim status workflows. These tools are in use to support repetitive billing administration.

Created tools for lead management, follow up, staff activity and time reporting, alongside booking, rescheduling and client communication workflows. These systems are in use to organize work and make operational information accessible.

Conversational AI

Developing an AI voice agent with telephone integrations and appointment communication workflows. This remains a prototype, with operational rollout still ahead.
